As a Project Manager Frédérique Pitavy knows how to keep on track on complicated tasks and how to get the most out of projects – even facing the COVID-19 crisis.
Ms Pitavy, you are recently working on an integrated umlaut project. Could you tell us more about the task?
Sure. Tech Data (technical documentation) is an essential activity for our aeronautical customers. It is used in supporting maintenance and in the description of various aircraft equipment: structure, engine, electronics. Tech Data not only transmits the technical characteristics of the equipment but also the methods and procedures which are used by the technicians in their work. Technical documentation is constantly evolving to comply with international standards and customer needs.
Our client was facing a special need: The migration of its technical documentation towards compliance with the S1000D 4.2 standard, while continuing to update its existing technical documentation for its customers.
In this context we were asked to support: In the first phase of the project, umlaut India in collaboration with our client, developed a tool for migrating technical documentation. The purpose of this tool is to mass migrate data modules. In the second phase the developed tool ensured the migration of the technical documentation. Since the French team was in charge of the confidential technical documentation, a precise project process, a strong collaboration with our client as well as synergies between the umlaut teams from India and France had to be established.
What is the key to this successful project?
For me the good project set-up, the knowledge transfer between our umlaut team as well with the client and for sure the open communication culture resulting in facing errors and growing together from them are the key to a successful project. umlaut has made the JIRA tool for managing non-conformities (Change Request) available. This tool facilitates rapid communication between actors. It enables our client to have a clear and precise vision of the errors encountered so that future migrations can be improved and evaluated. Also, we manage an agile team set up, that lead into high effectiveness.
Nevertheless, one of the strengths of this project is the international mindset, a positive and motivating synergy. The teams are very committed and are perfecting their skills. Everyone plays a role and works towards finding solutions to move the project forward. Our client listens to our proposals and is very responsive. The India / France collaboration is positive, each side contributing their qualities in the interest of the project thereby making umlaut reactive and responsive.
Finally, the project is successful because each stakeholder has their place and this is the case for our back office, too. Our own IT team is always reactive and resolves difficult tool issues. The finance team also helped structure the complex budget monitoring of this project. Finally, the Human Resources team helped us in our search when faced with a shortage of suitable profiles in this sector of activity.
What about the future?
Our ambition is to develop our activities within the scope of the client in Paris, in Bangalore and also in Toulouse. Recruitment is underway for the Parisian teams in order to be even more responsive in meeting customer needs and in supporting management in the development of long-term Tech Data activities in Paris.
Also, we are actively looking to develop a synergy between the different Tech Data teams in order to be able to work together on the versatility of the teams: adequate management skills and workload.
